These tools are in the Finance group of the left menu, the same for every business type.

The common groups (Sales, Purchases, Finance, People, Business, Settings) are the same for every business and are explained in Getting started.

🚀Day-1 setup

Do these once, in this order, before your first day of work.

Add bank and cash accounts
  1. Finance → Bank & cash → Add account with the opening balance.
Tax & currency
  1. Settings → Tax & currency: tax registration number, tax codes and exchange rates.

🛠️Everyday tasks

Click a heading to open or close it. Steps are numbered in the order you press.

Read the charts on Overview
  1. Every business opens on Overview. Owners and accountants see, below the day's numbers: Total receivables and Total payables (current and overdue), sales for today, this month and last month with the change in %, and what was spent this month.
  2. Sales shows the last 12 months as bars — switch to Last 30 days for a day-by-day line. Income and expense compares both, month by month. Top selling items, Top expenses and How customers paid cover this month.
  3. Click any figure to open the bills behind it; Open Analytics gives any period in more detail. Cashiers and staff without the Reports permission don't see the money charts.
Ask Ledgo a question
  1. Open ✨ Ask Ledgo (owners and accountants; an advanced add-on, not part of the plans — shown once Ledgo switches it on for your business) and type a question in any language — e.g. How were my sales this month compared with last month?, Who owes me money?, What should I reorder?
  2. Answers come only from this business's own figures (sales, top products and customers, money owed, low stock, expenses). Check important numbers in the reports before acting on them.
  3. Up to 40 questions a day per business; New conversation starts afresh.
Record an expense
  1. Expenses → + Add expense: category, amount, date, paid from cash or bank.
Reconcile the bank
  1. Bank & cash → Import bank statement (CSV from your bank) → Match each line, or Record & match what is missing.
Manage a post-dated cheque
  1. Cheques (PDC) → Add a cheque. Mark it Deposited, Cleared ✓ or Bounced when it happens.
Set up a recurring invoice
  1. Recurring invoices → New schedule: customer, items, repeat (monthly…), first date. It is created automatically every day it is due.
Depreciate assets
  1. Fixed assets → Add asset, then each month Post depreciation. Use Sell / scrap when it leaves.
Set budgets
  1. Budgets → a monthly budget per expense category and a Warn at %. You are alerted when spending crosses it.
Get the daily report
  1. Daily report → tick Email me this report every night, add more emails, or Send on WhatsApp.
